### About the Role
We’re looking for a detail-obsessed **Bookkeeper & Invoicing Specialist** who knows how to keep financial operations clean, compliant, and fast-moving in an agency setting. You'll manage invoicing, reconcile payments, track project-based billing, and keep QuickBooks airtight. If you’ve worked in a creative or marketing agency before—you’ll feel right at home.
### Responsibilities
* Own invoicing process in **QuickBooks Online**
* Send, track, and follow up on client invoices
* Record and categorize transactions with precision
* Reconcile accounts weekly and monthly
* Assist with payroll entries, contractor payments, and 1099 tracking
* Monitor accounts receivable and flag overdue payments
* Maintain documentation for audits, taxes, and monthly close
* Collaborate with Operations and Client Success to align billing with active scopes
* Prepare basic financial snapshots and reports as needed (P&L, cash flow)
### Requirements
* 3+ years of bookkeeping experience (agency or service-based business preferred)
* Fluent in **QuickBooks Online** (this is non-negotiable)
* Understands project-based billing, retainers, and multi-tiered pricing
* Excellent attention to detail and organizational skills
* Strong understanding of invoicing systems, payment processors, and ACH timelines
* Able to work independently and proactively—no micromanagement here
* Comfortable handling sensitive financial data with confidentiality and integrity
### Bonus Points
* Experience with Asana, Slack, Google Workspace
* Familiarity with Zapier automations for invoicing or accounting
* Worked with Stripe, Gusto, or similar platforms
* Understands the nuance between scope creep, out-of-scope billing, and retainer adjustments
* Can interface with clients professionally if needed for invoice clarification or payment follow-ups
